Huddle Log is made by Indira Pasupuleti, an individual developer in India (“we”, “us”). Huddle Log never sends your recordings, transcripts, or notes to us or to anyone else. They stay in Huddle Log’s storage on the Mac, iPhone, or iPad you record on, and in any copies, exports, or backups you make.
In short
- Recording, transcription, and telling voices apart all happen on your device.
- Your recordings, transcripts, notes, calendar data, and voice data never reach us.
- Five things do reach us, listed in “What reaches us”: payment for purchases and subscriptions from Apple, Apple’s reports, crash reports and usage statistics if you choose to share them, messages you send us, and App Store ratings and reviews.
- Huddle Log has no sign-in of its own and contains no analytics, tracking, or advertising code.
What reaches us
We receive only these five things:
- Payment for purchases and subscriptions, from Apple. Apple pays us for Lifetime and for each month of a Monthly subscription. Apple does not give us your name, email address, Apple Account, or payment details.
- Apple’s sales, subscription, and App Analytics reports. Most show totals, such as downloads, purchases, and countries. For subscriptions, Apple’s reports list each subscription event, such as a start, renewal, cancellation, or refund, with its date, the country or region, the type of device, the price, and a random subscriber number that Apple creates for each customer of our apps. The reports do not give us your name, email address, or Apple Account, and we have no way to link a subscriber number to you. They stay in App Store Connect; we do not download or copy them.
- Crash reports and usage statistics, only if you chose to share them with app developers in your device’s settings. Apple collects and sends these to us. They contain technical information, such as where in the app a crash happened, not your recordings, transcripts, calendar data, or voice. You can turn this sharing off in your device’s privacy settings. They stay in App Store Connect and Xcode’s Organizer; we do not copy them elsewhere.
- Messages you send us through the contact form on our support page: your email address, any name you give, and what you write. The form service also checks your IP address to block spam. We use messages only to reply to you and to keep a record of the conversation (see “If you contact us”).
- App Store ratings and reviews you choose to post: your rating, the nickname Apple shows with it, and what you write. Anyone using the App Store can see them, and we may reply there.
Your recordings, transcripts, notes, calendar data, and voice data never reach us.
What stays on your device
- Recordings from your microphone and, on the Mac, from your meeting app or other apps, and copies of audio files you open in or share to Huddle Log.
- Transcripts, speaker names, notes, meeting titles, and details of each recording, such as its date, its length, the microphone used, and, on the Mac, the app it was recorded from.
- On the Mac, which app is using the microphone, so Huddle Log can record the right app and, if Remind me when a call starts is on, remind you to record. Huddle Log checks only which app is using the microphone; it does not listen until you start recording.
- Calendar event titles, if you allow calendar access, to name a recording after the calendar event it happens during. Huddle Log reads only event titles and times, and keeps only the title it uses. You can turn this off in Settings (Name meetings after calendar events).
- The search index. Unless you turn it off, meeting titles, dates, people’s names, notes, and the full text of transcripts are added to your device’s own search (Spotlight), which Apple keeps on your device. This is on by default. A meeting stays in search until you delete it or turn the setting off, and while it is there, anyone using that device or Mac user account can find it in system search without opening Huddle Log. You can turn this off in Settings (Show meetings in Spotlight on the Mac, Show meetings in Search on iPhone and iPad).
All of this is stored in Huddle Log’s storage on your device and processed with models built into the app. Like other app data, it can be included in backups you make of your own device (for example Time Machine or iCloud Backup), under your backup settings. Huddle Log does not sync your meetings between your devices.
A recording or transcript leaves your device only when you copy, share, or export it, or in your own device backups. When you copy a transcript, Universal Clipboard can make it available on your other nearby Apple devices signed in to the same Apple Account, under your device’s settings. Exported PDFs include the meeting title, also in the file’s properties.
How Huddle Log tells voices apart
To show who spoke when, Huddle Log analyzes the voices in a recording while it makes the transcript (on iPhone and iPad it can skip this when the device is short of memory). It turns short stretches of speech into temporary numbers that describe how each voice sounds, and compares them only with others in the same recording, to group them as Person 1, Person 2, and so on. These numbers stay in your device’s memory, are never saved, are never compared with other recordings or with any list of known voices, are never sent to us, and are discarded when the transcript is finished. Huddle Log does not recognize or identify anyone by their voice: a name appears only if you type it.
Huddle Log never stores voiceprints of anyone.
Temporary audio copies. While it transcribes, Huddle Log makes temporary copies of the meeting’s audio and normally deletes them when transcription finishes. If the app is ended during transcription, a copy can remain in Huddle Log’s temporary storage on your device until the system clears it. These copies are audio, not voiceprints, and they never leave your device.
Purchases, subscriptions, and the free-meeting count
- Two ways to unlock. Lifetime is a one-time purchase. Monthly is an auto-renewable subscription.
- Apple handles every purchase and subscription. When you buy Lifetime, subscribe to Monthly, renew, cancel, ask for a refund, or use Restore Purchases, the App Store processes it and charges your Apple Account under Apple’s terms and privacy policy. A subscription renews automatically each month until you cancel it in your Apple Account’s subscription settings at least 24 hours before the end of the current period; Manage Subscription in Huddle Log’s Settings > About (shown while you are subscribed) opens those settings. After you cancel, Huddle Log stays unlocked until the end of the period you paid for. Buying Lifetime does not cancel a subscription. We never see your payment details.
- Checked on your device. Huddle Log checks Apple’s signed records of your purchases and subscriptions on your device. It does not send them to us, and there is no Huddle Log server.
- What Huddle Log remembers in your device’s Keychain. So that it works offline and from the moment it opens, Huddle Log keeps:
- whether you own Lifetime;
- for a subscription, when the current paid period ends and whether it renews;
- the most recent date in Apple’s signed purchase records, so that changing the device’s clock cannot extend a subscription;
- the internal ID numbers of meetings you imported while Huddle Log was unlocked, so they are always transcribed in full. These are random numbers, not titles or content. When you delete an imported meeting, its ID is removed as well, unless you bring the meeting back with Undo; then its ID is kept.
Huddle Log sets the purchase and subscription items only from Apple’s signed records, and clears the subscription item when its paid period has ended. None of these items is stored in iCloud Keychain.
- The free-meeting count is a single number: how many of the three free meetings were used. Huddle Log keeps it in the Keychain, in the app’s settings, and, if you use iCloud, in iCloud key-value storage, so it is the same on your Mac, iPhone, and iPad. The count contains only the number. Apple stores it in your own iCloud account under Apple’s iCloud terms; we cannot read it.
- What can remain after you delete Huddle Log. The Keychain items above and the iCloud count can remain after you delete the app, and the Keychain items can come back when you restore your device from a backup. If you delete the app while imported meetings are still in your library, their ID numbers can remain too. Huddle Log has no button to remove these items, and we cannot remove them because they never reach us. None of them contains a recording, transcript, title, or name.
Internet connections
Huddle Log contains no code that sends your information to us or to anyone else. The speech and speaker models are included in the app, so recording and transcribing never need a connection. Two things go through your device’s own Apple services instead: the App Store, for downloading and updating Huddle Log, showing prices, buying Lifetime or subscribing to Monthly, renewals, Restore Purchases, and Manage Subscription; and iCloud key-value storage, for the free-meeting count described above. Both are under Apple’s privacy policy.
Third-party libraries
Huddle Log uses GRDB (database) and FluidAudio (speech and speaker models). We reviewed their source code: neither contains analytics or tracking. FluidAudio can download models, but Huddle Log never uses that: its models are part of the app.
Permissions
Mac. macOS shows when the microphone is in use and asks your permission for the microphone, audio from other apps (System Audio Recording), calendars, and notifications. You can change these in System Settings > Privacy & Security.
iPhone and iPad. iOS and iPadOS show when the microphone is in use and ask your permission before Huddle Log can use the microphone, your calendars, or notifications. You can change these in Settings > Privacy & Security.
Keeping your meetings safe
Huddle Log relies on your device’s own protection, such as your passcode or password and, on a Mac, FileVault. It has no separate passcode. Anyone who can use your unlocked device or Mac user account can see your meetings.
Meeting titles can appear in notifications, which stay in Notification Center until you clear them, and, on iPhone and iPad, on the Lock Screen and, on iPhones that have it, in the Dynamic Island while you record. They can also appear on other devices that show your notifications, under your notification settings.
While Show meetings in Spotlight or Show meetings in Search is on (the default), your meetings, including full transcript text, can be found in your device’s search by anyone using that device or Mac user account. Backups are protected by the service or disk that holds them, under its own terms; for example, iCloud Backup is stored by Apple under Apple’s terms.
Deleting your data
Mac. Move a meeting to the Trash from the Library, then empty the Trash to delete it permanently. You can also delete Huddle Log’s folder (Settings > General > Storage > Recordings folder, Show in Finder). Removing the Mac app does not delete recordings automatically. It also leaves the Keychain items and the iCloud free-meeting count described in “Purchases, subscriptions, and the free-meeting count”. To remove your meetings from Spotlight, turn off Show meetings in Spotlight before you remove the app.
iPhone and iPad. Swipe a meeting and tap Delete. It disappears at once and can be brought back with Undo until Huddle Log next starts, when it is deleted for good. Deleting the app deletes all of its recordings and transcripts. The Keychain items and the iCloud free-meeting count described in “Purchases, subscriptions, and the free-meeting count” can remain.
Backups and copies. Copies in your device backups, including iCloud Backup, stay until those backups are deleted or replaced. Copies you exported or shared are wherever you put them.
If you contact us
If you use the contact form on our support page, we receive your email address, any name you give, and your message. We use them only to reply to you and to keep a record of the conversation. The form is run by Web3Forms, which stores messages on its servers and sends them to the email inbox we use to reply, which is run by an email provider. To block spam, Web3Forms may check your IP address and email address with spam-filtering services. Your message is therefore handled in India, where we work, and on servers that may be in the United States and other countries where these providers operate. We delete messages 12 months after your last message in a conversation, from the form service and from our inbox, unless the law requires us to keep them longer or we need them to establish, exercise, or defend a legal claim. We do not sell them or share them for advertising, and we disclose them to others only where the law requires. Do not send recordings, transcripts, or other people’s personal information through the form. If you are under 18, ask a parent or guardian to contact us for you.
If someone recorded you
If someone recorded a meeting you were in with Huddle Log, the recording and transcript are on their device and in any copies they made. We do not have a copy and cannot see, correct, delete, or hand it over to anyone. Contact the person who recorded you: they control the recording and are responsible for making and using it lawfully.
How your voice was handled. To show who spoke when, Huddle Log analyzed the voices in the recording on that person’s device. It did this in the device’s memory, only to tell the speakers apart in that one transcript. Nothing describing your voice was stored or sent to us or anyone else, and the analysis was discarded when the transcript was finished. Huddle Log did not identify you by your voice; a name appears only if the person who recorded typed it.
If a transcript gets your words wrong. Transcripts and speaker labels are made automatically and can attribute words to the wrong person. The person who recorded and shared the transcript controls that copy; we cannot see or correct it.
Your rights. You may have rights under the recording, privacy, and biometric-privacy laws where you are. You can ask the person who recorded you about the recording, and you may seek help from a lawyer or the authorities.
Using Huddle Log for work
Your recordings, transcripts, calendar data, and voice data never reach us, so we cannot see, keep, disclose, or delete them. If you use Huddle Log for work, you or your organization decide why recordings are made and are responsible for them under privacy, employment, health-privacy, student-privacy, and records laws. We are not a business associate under HIPAA and do not sign business associate or data-processing agreements, because we do not handle this information.
Requests from courts, police, and others
We do not have your recordings, transcripts, notes, calendar data, or voice data, so we cannot hand them over to anyone, whatever the request. The only information we hold that names you or lets us contact you is what you send us through our contact form. Apple’s reports and crash reports (see “What reaches us”) do not name you, and we cannot link them to you. We disclose information only where the law requires. We may not be allowed to tell you about a request, and we have no way to contact you unless you have written to us. Apple, not us, holds your purchase and subscription records and your Apple Account information.
Security incidents
If a security incident affects the information we hold, we will tell the people affected and the authorities where, and as, the law requires. We do not hold your meetings, so a problem with your device or backups is not something we can detect or report. If you use Huddle Log for work, you may have your own duties to report it.
Your rights
Depending on where you live, you may have the right to access, correct, or delete personal information about you, to restrict or object to its use, and to complain to a data protection authority. Messages you sent us are the only information we hold that names you; contact us through the contact form to use these rights, and we will reply within 30 days. We cannot find you in Apple’s reports or crash reports, because they do not name you. For your purchases, subscriptions, or iCloud data, contact Apple. You can cancel a subscription at any time in your Apple Account’s subscription settings.
United Kingdom. We use messages you send us to reply to you, because we have a legitimate interest in answering you. Apple’s reports and crash reports help us understand sales and fix problems, also as our legitimate interest. They stay in App Store Connect and Xcode for the periods Apple sets, and we do not download or copy them. We keep records of the payments Apple makes to us for as long as tax and accounting law requires. We work from India, and our contact form provider stores messages on servers that may be in the United States and other countries, so your information is handled outside the United Kingdom (see “If you contact us”). The United Kingdom has not found that India’s law protects personal information to its own standard. If you are unhappy with how we handle your personal information, you can complain to us through the contact form. We will acknowledge your complaint within 30 days and tell you the outcome. You can also complain to the Information Commissioner’s Office (ico.org.uk).
India. For the personal data we hold, including messages you send us, Indira Pasupuleti is the Data Fiduciary under India’s Digital Personal Data Protection Act, 2023. You can ask us to access, correct, or erase it, or raise a grievance with our Grievance Officer (see “Changes and contact”). You can also nominate another person to use these rights for you if you die or become unable to act. If you are not satisfied with our answer, you may complain to the Data Protection Board of India.
Canada and Quebec. The person responsible for protecting personal information is named in “Changes and contact”. You can also complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca) or, in Quebec, to the Commission d’accès à l’information (cai.gouv.qc.ca).
European Economic Area and Switzerland. Huddle Log is not offered in the App Store in the European Union, in Iceland, Liechtenstein, or Norway, or in Switzerland.
Children
Huddle Log is not directed at children under 13, and children under 13 may not use it (see the Terms of Use). People aged 13 to 17, or under the age of majority where they live, may use Huddle Log only if a parent or legal guardian accepts the Terms of Use for them and allows it. The app never sends us anything about you, so we do not collect personal information from anyone, including children, through the app. If we learn that a message came from a child under 13, or from someone under 18 in India without a parent or guardian, we use it only to reply if needed, for example to ask a parent or guardian to contact us, and then delete it. If you are a parent or guardian and believe your child sent us a message, contact us through the support page and we will delete it.
What we do not do
- Huddle Log has no account or sign-in of its own, and no cloud storage of your meetings.
- Huddle Log contains no analytics, tracking, advertising, or crash-reporting code of its own.
- We never use your meetings to train AI, because we never receive them.
- We do not sell personal information or share it for advertising.
- We do not collect consumer health data, including biometric data.
- Huddle Log does not track you across apps or websites, so it does not respond to “Do Not Track” signals differently.
Changes and contact
We will update this policy and its date if anything changes, and we will describe important changes in the release notes of the update that includes them.
Contact us through the contact form linked from Support on Huddle Log’s App Store page. Our Grievance Officer for India, and the person responsible for personal information for Canada and Quebec, is Indira Pasupuleti, reachable through the same form.
